SUPPLY MANAGER I

DEFINITION

This is senior-level supervisory work directing a storekeeping operation of substantial size and complexity, or assisting in the overall management of one of the largest and most complex storekeeping operations.

This description may not include all of the duties, knowledge, skills, or abilities associated with this classification.

EXAMPLES OF WORK

Manages a storekeeping operation of substantial size and complexity and is responsible for all supplies and equipment; supervises the stores functions and related activities as assigned.

Serves as the assistant supply manager normally responsible for supervising the day-to-day activities of one of the largest and most complex warehouse/storekeeping operations.

Coordinates and supervises the maintenance of all inventory control records, including a perpetual inventory of all stores in the main storeroom, a property inventory of all physical property and equipment, a clothing inventory for all clothing issued to residents, and other specialized inventories.

Determines optimum inventory levels; establishes reorder points and standard order size for maximum economy; prepares purchase requisitions when inventory levels reach the reorder point.

Supervises, through lower-level storekeepers, the receiving, storing, physical property control, and retail sales sections of the storekeeping operation.

Monitors building, ward, and/or other specialized supply rooms and records; reviews their operation to ensure maximum efficiency.

Instructs ward, food service, custodial, and other staff regarding the proper storage, rotation, and stocking of supplies and equipment; makes regular inspections of the agency or facility to ascertain that optimal use is being made of available materials; recommends the use of suitable supplies which may be available through the main storeroom.

Interviews vendor representatives to determine suitability of their products for agency or facility use and recommends the purchase of new products.

Supervises storekeeping personnel, facility residents, and/or other staff involved in storekeeping functions.

Receives general administrative direction.

Performs other related work as assigned.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs)

Comprehensive knowledge of storekeeping methods and procedures used in the receipt, storage, and shipment of a variety of goods.

Comprehensive knowledge of inventory methods and procedures regarding property accountability and records maintenance.

Comprehensive knowledge of purchase and requisition procedures, transportation providers, and shipment methods.

Comprehensive knowledge of the principles and practices of office organization and management, including supervision and training of personnel.

Comprehensive knowledge of the various kinds and grades of foodstuffs, housekeeping/medical/office supplies, clothing, and maintenance equipment.

Intermediate knowledge of computerized inventory and property control systems.

Ability to establish inventory levels and reorder points and maintain requisition and inventory records.

Ability to instruct staff in the appropriate methods of inspecting foodstuffs and other stores items for conformance with stated specifications.

Ability to plan, schedule, and assign the work of storekeeping, clerical, and other related personnel.

Ability to supervise and train staff and facility residents.

Ability to analyze results through inspection and control.

Ability to estimate the supply and equipment needs of departmental units.

Ability to establish and maintain effective working relationships with staff, department heads, and vendors.

EXPERIENCE AND EDUCATION

(The following requirements will determine merit system eligibility, experience and education ratings, and may be used to evaluate applicants for Missouri Uniform Classification and Pay System positions not requiring selection from merit registers. When practical and possible, the Division of Personnel will accept substitution of experience and education on a year-for-year basis.)

Two or more years of experience as a Storekeeper II with the Missouri Uniform Classification and Pay System, and possession of a high school diploma or GED certificate.

OR

Five or more years of experience maintaining supplies and materials and related records, including two or more years in a supervisory capacity in a storeroom or warehouse; and possession of a high school diploma or GED certificate.

(Earned credit hours from an accredited college or university which included credit hours in Accounting, or Business or Public Administration may substitute on a year-for-year basis for the required general experience at a rate of 30 earned credit hours for one year.)
